How to in JobNimbus
- Click the three lines (top left) and choose Settings: In the JobNimbus web app, click the three lines in the top left corner and choose Settings from the dropdown menu to open account settings.
- Click Automation tab: In Settings, select the Automation tab to view and manage automation rules.
- Click the blue +Add Automation button: In the Automation tab, click the blue +Add Automation button to open the Add Automation window.
- Name the Automation and select Event-based trigger: In the Add Automation window, enter a descriptive Name for your Automation and set Trigger type by choosing Event-based from the Trigger type dropdown menu.
- Update Triggering Record and specify action: Under Update the Triggering Record, choose the record Type (Contact, Job, Task, Work Order, Material Order, Payment, Attachment, or Activity) and specify when it should trigger by selecting Created, Modified, Created or Modified, or Deleted.

- Add an Action and choose Send a Notification: Click Add an Action and choose Send a Notification as the action to execute when conditions are met (this will use an email template for the notification).
- Create an Email Template via Templates tab: Select the Templates tab on the left, click Add Template, choose Email, enter a Template Name (for example, Production Ready), write your message in the body, and use Insert Template Field to add dynamic fields like Job Number or Customer First Name/Last Name; then save the template.
- Pick the template, set Subject and Recipients, then save the rule: Return to your Automation rule, pick the email template you created, write a Subject, pick Recipients (for example the Production Manager), review the rule, and click Save your Automation Rule so it will run in the background when the trigger and conditions are met.

How do I include the job number or customer name in the automated email?

What if the automation doesn't send the email when I expect it to?
Verify the Automation is saved, confirm the Triggering Record and Trigger action (Created/Modified/etc.) match where the change occurs, ensure the Condition (for example Status is Signed Contract) exactly matches the record value, and confirm the Email template and Recipients are properly selected in the Automation.
Common mistakes when using JobNimbus
Creating the Automation and selecting Send a Notification before creating an Email template.
Create and save the Email template first via Templates tab > Add Template > Email, then return to the Automation and select that template in the Send a Notification action.
Selecting the wrong Triggering Record type (e.g., Contact instead of Job) so the condition never fires.
Open the Automation, confirm Update the Triggering Record is set to the correct Type (Contact, Job, Task, etc.) that contains the field you will use in the Condition, and update it if necessary.
Defining a Condition with an incorrect or misspelled Status value (e.g., using 'Signed' instead of 'Signed Contract').
Edit the Condition and pick the exact Status value used in your account (use the dropdown or exact value 'Signed Contract' as shown in the documentation) so the automation recognizes the match.
Leaving Recipients blank in the Send a Notification action and expecting emails to send.
