How to in Kickserv
- Click job: From the left-hand menu click job to open the Jobs area (the section lists Opportunity, Job, and Invoices).
- Click add job: Click add job to start a new job, then choose the Service field; if the needed service is missing click add a service.
- Click create new service: Type the service name (for example, Plumbing), add an optional description or scope of work, then click create new service to add it to the job.
- Click add a contact: In the job contact field start typing the customer name and if not found click add a contact, fill phone, email and address, then click save contact.
- Click create a job: After selecting service and contact, click create a job to save the job record and open the job detail view.
- Click start job: Inside the job view click start job to begin time tracking; when work finishes click stop job so the time entry is recorded under the job (Time entry).
- Click mark completed: After all time entries and work are finished click mark completed on the job to set its final status and enable invoicing options.
- Click generate invoice: From the completed job click generate invoice (or choose Generate invoice from the Invoices area) — the invoice will populate with the job and contact details; add any charges or adjustments as needed.
- Click collect signature / send invoice: Click collect signature to capture a signature or click send, enter the invoice subject and message, then click send invoice to email the bill to the customer.
- Click mark paid: When payment is received (via your integrated Stripe account or externally), open the invoice and click mark paid to update the invoice status and dashboard revenue.
FAQ for Kickserv
Can I create an invoice directly from a job that has time entries?
Yes — once a job is completed you will have the option to generate invoice and the job's details are automatically added to the invoice.
How do I make sure time tracked on site appears on the invoice?
Use Start job at the beginning and Stop job at the end of work so the time entries appear under Time entry on the job; then generate the invoice from that completed job so the job details and recorded time are available for billing.
Do I need a payment processor to accept payments on Kickserv?
Yes — Kickserv does not provide its own merchant processor; you must connect a Stripe account to accept credit card payments through invoices.
What if I don't see the Generate invoice option after completing a job?
Open the job and confirm it is marked completed and that contact and service were saved; if Generate invoice still isn't visible use the job view menu to select generate invoice from here as the transcript notes you can trigger it from the job or the invoices area.
Common mistakes when using Kickserv
Creating the job before saving the customer contact, which leaves the invoice missing customer details.
Click add a contact, fill phone/email/address, then click save contact before clicking create a job so the invoice populates with the correct contact information.
Forgetting to click start job/stop job, so no time entries are recorded for the invoice.
At job start click start job and at job end click stop job so time entries appear under Time entry before you click generate invoice.
Generating an invoice but never sending it, leaving the job unpaid despite the invoice existing.
After clicking generate invoice, click send, enter the subject and message, then click send invoice; when payment arrives click mark paid to update the invoice status.
