How to in Fleetio
- Go to Parts List: Open the Parts List and select the part you want to track.
- Click Manage on Locations tile: On the selected part's page, click Manage on the Locations tile to configure location settings for that part.
- Check Track Inventory checkboxes: Select new locations using the drop-down menu and check the Track Inventory checkboxes for every location where you want quantities tracked.
- Click Save button: Scroll down in the Locations tile and click the Save button to apply the location and Track Inventory changes.
- Open Locations tile: After saving, view the Locations tile to confirm which locations are active for the part and to access inventory controls for those locations.
- Click More Actions Button > Update Quantity: From the Parts List, click the More Actions Button for the part you want to update, then select Update Quantity.
- Select a location and adjust the quantity: In Update Quantity, select a location, then change the quantity on hand to the correct value.
- Select a reason, enter an optional comment, and click Save: Choose a reason for the adjustment, enter an optional comment, and then click Save to record the inventory activity.
- Assign Update Inventory Quantities permission: Ensure Account Owners/Administrators or Roles have the Update Inventory Quantities permission so users can adjust quantities and transfer parts between locations.

Are all parts tracked automatically across locations?
No — Fleetio supports two types: Inventory part (Track Inventory set to ON, quantities ARE tracked) and Non stock items (Track Inventory set to OFF, quantities ARE NOT tracked).
What permission is required to update inventory quantities or transfer parts?
Users need the Update Inventory Quantities permission (assignable via Role); Account Owners and Administrators have full access by default.
What happens when a purchase order (PO) is received?
Receiving a PO automatically makes an inventory adjustment, but inventory activity will only display for parts with Inventory Tracking enabled.
What if my quantity change doesn't appear or an activity is missing?
Confirm the part's Track Inventory is enabled for the selected location and that you selected the correct location before saving; also verify you have the Update Inventory Quantities permission.
Common mistakes when using Fleetio
Updating the wrong location's quantity because the location selector was not changed.
Before editing quantity, explicitly select the correct location in the Update Quantity dialog (each location has a unique list of parts) and then save.
Expecting Non stock items to have quantities tracked.
Confirm the part is an Inventory part with Track Inventory set to ON; if it's a Non stock item, toggle Track Inventory ON via the Locations tile to enable tracking.
Saving location changes but forgetting to click the Save button in the Locations tile.
After selecting locations and checking Track Inventory checkboxes, scroll down and click the Save button to persist changes.
User cannot adjust quantities because of missing permissions.
Have an Account Owner or Administrator assign the Update Inventory Quantities permission to the user's Role so they can update quantities and transfer parts.
