How to do tasks with Tradify
How to create field service quotes from mobile?
Paid required
- Navigate to Sales page
Open the Tradify mobile app and navigate to the Sales page as the starting point for creating a quote.
- Select New Quote
On the Sales page, select the New Quote button to begin a new quote independently from a job.
- Enter your quote details
Enter your quote details: customer's name, quote date, expiry date, and indicate if the quote is tax inclusive or exclusive (Required).
- Add reference and description
Type an internal reference and a customer-facing description in the Reference and Description fields (optional).
- Add line items
Add line items to the quote by choosing one of the item types: Miscellaneous (custom line), Time (select a Billing Rate and enter hours), Price list item (search and add items from your saved price list), or Kit (search for and add a saved kit).
- Edit kit items using + icon next to the item code
If you add a Kit, click the + icon next to the item code to expand and edit the kit's individual line items before finalising the quote.
- Select Previewtab
Open the Previewtab to review how the quote will appear to the customer and verify line items, totals and tax settings.
- Select Customise Document Theme or add options
To change the quote appearance, select Customise Document Theme; to include optional pricing choices, add the option item(s) to an optional section on the quote.
How do I manage mobile work orders and cloud sync?

Open the Tradify Mobile App and tap the Enquiries tab to view the two sections on the Enquiries dashboard: To Do and Done; use this screen to create, edit and manage Enquiries from mobile.
- Tap Quotes tab in the bottom navigation toolbar
From the Home Dashboard, tap the Quotes tab in the bottom navigation toolbar or access Quotes via the Home Dashboard or Mobile Jobs dashboard to open the Quotes list on mobile.
- Add a new Quote
When adding a new Quote in the mobile Quotes view, follow the same fields as on the Tradify Web App and be sure to link the quote to a Customer before saving.
- Link Quote to a Customer
While creating a Quote on mobile, use the link-to-Customer control to attach an existing Customer record (or create one) so the quote appears against the correct customer record.
- Create Job via App Dashboard
Create Jobs on mobile from the App Dashboard; alternatively create Jobs using the Scheduler, the Job Dashboard or a Customer Profile as listed in the mobile Jobs section.
- Open Job in Job Dashboard
Open the Job Dashboard on the mobile app to view and edit a job's details and manage the work order directly from the mobile interface.
- Open My Information
Open the My Information section on the Mobile App to edit your company and contact details stored in the mobile profile.
- Open Privacy and Security settings
Open Privacy and Security settings in the mobile app to block sensitive information when allowing customers to use the Mobile App; you can also change your password or add a PIN entry upon reactivation of the app from this area.
- Sign in to the Tradify Web app for advanced settings
If a feature's settings aren't available in the mobile settings (the mobile settings mainly tailor mobile experience), sign in to the Tradify Web app to edit the feature configuration.
How to create and send quotes and convert to invoices?
Paid required
- Open your Quote
In the Tradify mobile app, open the Quote you want to convert.
- Select the ...button at the top-right corner of the screen
With the Quote open, select the ...button at the top-right corner of the screen to reveal quote actions.
- Select Create Invoice from Quote
From the menu, select Create Invoice from Quote and choose the invoicing method you need: Copy Entire Quote Amount, Remaining Amount, Percentage of Quote, Fixed Amount, or Line Items in Quote.
- Select whether you'd like to Group quote sections into a single line item or Group kits into a single line item
Choose whether to Group quote sections into a single line item or Group kits into a single line item to control how items appear on the invoice.
- Edit or fill in details as needed
After the invoice is created in draft, edit quantities, prices, descriptions, customer details or any other fields directly in the draft invoice.

How to invoice a completed job with timesheet entries?

Open the job, click Add time sheets, set the start and finish times, choose the applicable rate (e.g., 'first hour price rate') and then click Save to record the timesheet against the job.
- Select item from price list
In the job Materials/Parts area, type the part name into your price list search (for example 'ball'), select the saved item, adjust the quantity and add a markup if required so the material is recorded on the job.
- Click New invoice in invoices tab
From the job, open the invoices tab, click New invoice to begin creating an invoice for that specific job.
- Select timing materials
In the New invoice screen choose the timing materials option which collects both the timesheets and price-list materials you added to the job and adds them to the invoice.
- Click i icon
Click the i icon at the top of the page to preview the draft invoice and confirm the totals or level of detail before sending.
- Select document theme
Scroll to Document theme and choose either 'standard' or 'standard itemized' to control whether the invoice shows a summary or a full breakdown of parts and labour.
- Click Approve
Once satisfied, click Approve and when prompted choose to email the invoice to the customer to send it directly from Tradify.
How to set up invoice reminder email and SMS

Open the Settings dashboard in Tradify.
- Click Invoices
On the Settings dashboard, click the Invoices section.
- Click the toggle under Payment Reminders to enable text reminders
Under the Payment Reminders section in Invoices, click the toggle to turn text (SMS) reminders on or off (the help article shows the same toggle used to disable text reminders).
- Click New Invoice
From the Invoices area, click New Invoice to create an invoice for the customer.
- Scroll to Payment Options
While editing the New Invoice, scroll down to the Payment Options section.
- Click the toggle to Enable payment reminder emails on this invoice
In Payment Options, click the toggle labelled 'Enable payment reminder emails on this invoice' to turn on automated email reminders for that invoice.

- Send quote via email

- Open your Quote
In the Tradify app, open your Quote that was sent or created; locate the quote record you want to convert.
