How to do tasks with Workiz
How to set up invoice reminder email and SMS
Paid required
- Filter your invoices by Overdue
On the Invoices dashboard, apply the filter and choose Overdue to display only overdue invoices.
- Select Send reminder
Select the invoice(s) you want to remind your client(s) about and select Send reminder to dispatch a reminder from Workiz.
- Open Workiz Automations
Use Workiz Automations to set up automatic follow-ups for overdue invoices; consult the 'Sending automated reminders for overdue invoices' article for the automation trigger and action details.
- Filter your invoices by Unsent
On the Invoices dashboard, select the Unsent filter to locate invoices that have not been sent to clients yet.
- Select Send invoice
Select the invoice(s) you want to send to your client(s) and select Send invoice to deliver the invoice from Workiz.
- Select the Need invoices widget
From the Invoices dashboard, select the Need invoices widget to find jobs that still require invoices.
- Select Generate invoice
Select the job(s) you want to generate an invoice for and select Generate invoice to create invoices inside Workiz.
- Select Create X invoices
After choosing jobs in the Need invoices flow, select Create X invoices to complete batch invoice generation.
- Select Mark sent
If an invoice was sent outside Workiz, filter by Overdue or the relevant list, select the invoice(s), and select Mark sent to update their status.
- Select All time and choose a timeframe
Use the All time filter on the Invoices dashboard to narrow results by a specific timeframe when searching for invoices to remind.
How do I manage mobile work orders and cloud sync?
Paid required
- Open job page
From your schedule or job list, open the job you want to manage to access job-level actions and details.
- Select client’s address
On the job page, tap the client’s address field to view the stored address (this is the Workiz UI element that shows the job location).
- Call or text client
On the job page use the phone number on file to call or text the client directly from the job's contact section.
- Select Start
In Quick actions on the job page, tap Start to launch a running clock to record your time on the job.
- Select Quick actions (ETA / Pay / Add note / Attach)
From the job page Quick actions choose ETA to notify the client, Pay to add a payment to the job, Add note to leave internal notes, or Attach to upload photos/files from your device.
- Select Tasks
At the bottom of the job page, tap the Tasks section to view or manage tasks associated with this job (tasks must be created under a job or lead).
- Select Add task
Inside the Tasks section tap Add task, then enter Title, Description, Schedule and Assigned technician(s) and tap Save to create the task.
- Select Mark as done
Next to a task in the Tasks section tap Mark as done; Workiz will automatically update the task progress bar for the job.
- Select Finance tab
Open the Finance tab on the job to create an invoice and add line items or to add payments; note that collecting credit card or ACH on mobile requires signing up for Workiz Pay.
How to sync job bookings with your calendar
Paid required
- Open Feature Center
From the navigation bar, select the Feature Center.
- Enable Calendar sync add-on
If the Calendar sync add-on isn’t visible, ask your admin to turn on the Account Settings permission for your user type from the Roles & Permissions settings.
- Choose sync scope
In the Calendar sync settings, select the user whose schedule you want to sync: a single user or All users. Subcontractors will not be included.
- Connect Google Calendar
Choose Google Calendar as the third‑party calendar and follow prompts to connect your Google account.
- Understand one-way sync
Note that Workiz to calendar is one-way; you will not be able to sync calendar events from your third-party calendar back to Workiz.
- Link booking page to Google
In Workiz, link your online booking page to Google via Reserve with Google and Google Local Services Ads. If you lack a website, you can use a Facebook page or a Google Local Services page URL. Allow about 48 hours for the connection.
- Test and verify
Trigger a scheduling link to create a booking and verify that the event appears in the connected Google Calendar within 24 hours. For urgent changes, communicate with your team manually.
- Optional export
For a one-time snapshot, export your schedule; this does not enable ongoing syncing.
Set up recurring cleaning appointments and client records in service management software

In Feature Center, enable the Service Plans add-on to activate recurring visits and service plan features on your account.
- Click Launch walkthrough
Click Launch walkthrough to view the guided walkthrough that demonstrates how Service Plans work in your account.
- Create service plan template
Use the create service plan templates flow to define the recurring visit pattern, included services, and pricing for that recurring cleaning plan.
- Subscribe clients to service plan
Open the client's record and subscribe your clients to those service plans so they receive scheduled visits and recurring billing as defined by the template.
- Review My visits tab
Open My visits tab and check the Sent reminder column to confirm Workiz Automations sent the 14-day pre-visit reminder for upcoming service plan visits.
- Convert visit into job
Select a service plan visit (placeholder) and convert it into a job; note that you cannot assign technicians or make changes until after you convert the visit into a job.
- Assign technicians
After converting the visit into a job, click Assign technicians and choose technicians based on skills, location, and availability.
- Create jobs with customer information
If creating an ad hoc or converted job, use Create jobs to enter customer information, job description, and required resources before dispatching.
How to schedule a recurring weekly meeting with a CSM
Paid required
- Click Create new > Job
From the sidebar menu, select Create new then click Job to begin a new job entry.
- Complete Client details
In Client details enter the CSM's name and contact information so the meeting is associated with the correct client record.
- Complete Service location
In Service location enter the meeting location or address (or a placeholder if this is a virtual meeting).
- Complete Job details
In Job details add the meeting title, agenda or notes and any instructions that should appear on the job.
- Click Set recurring schedule
In the Scheduled section of the job form select Set recurring schedule to open the recurring options.
- Choose frequency (Weekly)
Under the recurring schedule choose the frequency for this recurring job and select Weekly to repeat the meeting every week.
- Configure Jobs Stop
Under Jobs Stop choose whether the recurring schedule should end after a specific number of jobs or on a specific date.
- Enter Create jobs
In Create jobs enter the number of days ahead of schedule you want each recurring job instance to be created.
- Click Save
Select Save inside the recurring schedule dialog to store the recurring configuration.
- Click Submit
After entering all job details and saving the recurring schedule, select Submit to create the recurring job series.
- View Recurring Schedule
Open the job you created and scroll down to Recurring Schedule on the job page to verify the weekly schedule and settings.
